How to Prepare Your Team for Headshot Day

Getting ready for Headshot Day at your office? Don’t worry. I’ve got you covered! As someone who has photographed hundreds of professionals across Atlanta, I know how to make the process smooth, efficient, and (believe it or not) fun. Here’s a quick guide to help you and your team feel fully prepared for a great photo experience.
1. Plan Your Schedule
The easiest way to keep things running smoothly is to schedule in 10-minute blocks per hour with up to five people per block. This keeps the flow efficient without feeling rushed.
👉 Important tip: Please have everyone arrive at the office at the start time, not just their assigned block. We often run ahead of schedule, and it’s never fun to wait on the last person who thought they could sneak in at the end. When everyone is present, we can move through the session faster and keep your team’s day running on time.
2. Choose the Right Attire
Think about what image you want your company to project. Whether that’s suits (with or without ties), company logo polos, or a more business casual look, it’s helpful to let everyone know in advance.
If your photos will be used for LinkedIn profiles, company websites, internal announcements, or awards, dress accordingly. I’ll always make sure each person looks professional and confident; no awkward posing, promise.
3. Know What to Expect on Headshot Day
I’ll arrive with my own lighting and backdrop setup, unless we’ve decided to use your office environment or outdoor space instead.
For backdrop sessions, I’ll need about a 5x7-foot area (bigger is always better to prevent trips or clutter). The room doesn’t need windows. I bring professional studio lighting, so even an interior space works perfectly.
4. Relax... I’ll Guide Everyone Through It
Most people aren’t used to being in front of the camera, and that’s okay! I provide custom posing guidance for every person based on their height, posture, hairstyle, and body type to ensure they look their best.
Each person will have time to:
Take multiple poses (smiling and non-smiling)
Try photos with and without glasses
Turn slightly left or right for variety
There’s even a mirror on site, so everyone can check their hair, tie, or jacket before stepping in front of the camera.
5. Review and Select Right Away
After each mini-session, your team member will get to review their photos immediately on a tablet and select their favorite image on the spot. This makes the process quick, organized, and ensures everyone walks away happy with their shot. Occasionally, directors or executives may wish to have more than one final image; perhaps a smiling and a more serious option, or one for internal use and another for LinkedIn. We’re happy to provide additional images upon request for a small additional fee.
6. Delivery Timeline
Edited headshots are typically delivered within 1–2 weeks, depending on the size of your group. You’ll receive beautifully retouched images that your team will actually be excited to use!
7. Final Tips for a Smooth Day
Make sure your photo area is cleared and ready before setup time.
Encourage everyone to be on time; even early arrivals help!
Remind your team to relax and have fun. The best photos happen when people feel comfortable.
